INDEX copies

The Briefing Book repeats the key questions and is organized around those issues. It then provides a narrative summary of the question context, a bibliography of references relevant to those issues, and an indexed copy of those actual references.

The index may be issued or, so as to preclude use of obsolete indices, it may be prudent to keep no hard copies. With organizations that operate on several sites using common documentation it may well be sensible to issue the index so that users have a means of determining the current version of documents. 

The location could be controlled by index, register, inventory, or other such means which enables you to identify on what machines particular versions of the software are installed, where copies and the master tapes or disks are stored. 

An organized document filing system must be maintained. This could be a paper file, an electronic document file, or a mixture of both. The equipment inventory system contains key information on the components of each system, their performance criteria and maintenance and calibration status. To facilitate retrieval, documentation should be stored in a central location and be indexed for easy retrieval.

In the case of European legislation there is a published information source that contains many of the relevant documents. This is the hard copy or electronic version of the multiple volumes of The Rules Governing Medicinal Products in the European Union. Some people use an index card for each piece of information. They label the card with a number for the source, and then write the information on the card. Others take electronic notes on a laptop. Some people rely more on photocopying machines—copying the page of the source they need and highlighting the parts that interest them. Then, they include the page in a folder labeled with the source s name and other bibliographical information. Whatever method you use to take notes from your sources, be sure to label the information with the correct source name, so you can give proper credit in your paper.

Approximately half of the documents in the site have been published in the Journal of Chemical Education where they are permanently archived, http //jchemed.chem.wisc.edu/JCEDLib/index.html. The JCE Digital Library Collection (JCE DLib) contains both peer reviewed and open access documents. Usage policy for these documents follows standard practice for JCE. Faculty may distribute copies of the documents to students in their classes if they have a JCE subscription or their campus has an IP based subscription to the Journal. Students have access to documents through a campus IP based subscription.
