The development of supplier surveys and planning supplier visits are two methods that can help improve the relationship with and understanding of the supplier. Better understanding the supplier reveals strengths and weaknesses, and both organizations can be improved as the strengths are built upon. 

With the proper planning and preparation, an excellent supplier quality system survey can be developed and suppliers will fill it out and return it in a timely manner. The same is trne for the preparation for a supplier visit. If the preparations are completed and the visit is conducted with an open mind, some very positive resnlts can be obtained for both organizations. Continnons improvement is a necessity for businesses today to be able to remain in a competitive position. Part of continuous improvement is doing root canse analysis of problem areas to prevent the problems from happening again.

In Chapter 9 supplier quality system surveys are discussed, with examples. Supplier visits are addressed, and we will explain both how to run a visit and the results that might be expected from the supplier.

This annex of the Rules contains a flowchart identifying the key stages in the audit process from the initial request for certification through to issue of the certificate. Pre-audit is not a documentation audit. Supplier must provide all required data prior to site visit.

Even though full GMP compliance may begin later than receipt of raw materials, it is important to treat raw materials in a GMP compliant manner. Raw materials should be purchased only from suppliers approved by the Quality Unit. For raw materials whose quality is important to conformance of the excipient to compendial or specification requirements, or to performance expectations, the supplier approval process should be a combination of site visit and an evaluation of raw material quality. For other raw materials, it would be adequate to confirm that the raw material supplier can meet the purchasing specification.

Normal operation—The computer system is maintained in accordance with the planned preventative maintenance schedule. Typical activities include recalibrating field instrumentation and computer I/O cards in accordance with site calibration procedures, running system diagnostics, checking operator logs for any abnormalities, and planning service visits by the system supplier. 

During the qualification of computer technology suppliers and developers, a site visit and inspection of the computing environment and related technology products is conducted. Information is collected through formal inspection of the defined practices, verification of supporting evidence, and interviews with key personnel. Information collected is compared to the defined acceptance criteria and verified before completion of the on-site visit. 

After visiting and inspecting the supplier, the information obtained is analyzed against the acceptance criteria, current company requirements for the validation of computer systems, and the regulatory expectations for computing environments. A report is produced that documents the audit process, provides information on the current state of validation of the supplier and what may be needed for compliance and, based on the audit findings, provides a recommendation on whether the supplier can be used. 

The first section is site qualification. Vendors selected to perform regulated work product will be evaluated for compliance with the appropriate s et of regulations. The results of the audit will be reviewed and the need for a site follow-up visit will be determined. Site qualification visits are generally performed on a cyclical basis at least once every 24 months is suggested unless the supplier becomes problematic. A continuous monitoring program is an essential component of a compliant vendor qualification program.
