Communication progress reports

Facility Manager Ray Leonard is the task force s primary contact for the test. Ray is now assisting us with designing the pilot, and will be responsible for all communications, administration, and other management functions associated with its installation. He will provide weekly progress reports, and will be a strong contributor to the system review and refinement process once the test is complete.

In June 2001, the EU Commission published the hrst progress report following the adoption of the Community Strategy for Endocrine Disrupters, covering the time period from 1999 to 2001 (EC 2001b) and in October 2004, the second progress report was published covering the hme period from 2001 to 2003 (EC 2004).

Communications have an important part to play in the successful implementation of a project. External communications have already been discussed as part of the formal launch of the project. It is a good idea to have similar communications at important milestones during the project s lifetime. Internal to the project team it is necessary to have progress reports for team members and the human resource responding to them. To be effective the reports must be concise, accurate, and produced at regular intervals, with just sufficient detail for them to be speedily read. Progress reports, as well as notes on meetings, will also be required for inclusion in Project Folders as a part of the quality procedures within the company.

The network includes 4 MS, 10 NMS and 3 ACC. Activities carried out in 17 countries need a timely and firm coordination. Therefore, the management of SAFEFOODNET is assigned to a specific work package (WP1). WP1 addresses the co-ordination of administrative and scientific areas of the project. It will assure a well-timed delivery of internal and official documents. WP1 has the task to create and maintain the administrative and technical archive of accounts, contractual record, and progress reports, intermediate and final deliverables. Moreover, the management will include organisation of project meetings communication with European Commission, circulation of documents to partners. 

A very important part of successful project development is the organization of personnel within the company to handle the various aspects of the job. Figure 2-1 shows a typical organization chart for industrial research. As the project develops, it is essential to obtain suggestions and criticisms from personnel in various departments from time to time. This can be done by conferences and/or circulation of progress reports. Communications problems must be solved for effective cooperation. The proper method to employ depends on the size and physical setup of the company. As a further illustration of the requirements for cooperation and communications, Table 2-1 shows how each of seven departments was involved during various phases of the development of a chemical product.

Project monitoring also is used to set up ongoing channels of communication among project stakeholders. The major deliverables are project progress reports and status updates detailed work-plans (updated as necessary) and cost and schedule performance reports. 

The annual environmental progress report has become an important means of communication with the public and also a tool for further anchoring the company s commitment in-house (Figure 7.12). Putting environmental issues into perspective by means of voluntary reporting is thought to be preferable to risking bad environmental press. 

The results of management s reviews should be a written progress report and program update, which should be shared with all responsible parties and communicated to employees. 

A reminder again that although we have listed the presentation as step 8 of the design process, quite often ei ineers are required to pve oral and written progress reports on a r ular time basis to various groups. Consequendy, presentation could well be an int ral part of many odier design stq>s. Because of the importance of communication, we have devoted an entire diapter to er neering communication (See Chapter 4). 

A simple 0 to 5 ranking scale can be allocated to each of the progress questions, and a total score can be calculated as a percentage of completion. When applied to the entire system, the individual and total scores will give an overall picture of the safety system implementation progress. This progress report shonld be included in various safety reports and communications.

In many companies, a major Management Review process is conducted annually and a summary progress report carrying the signature of the chief executive officer is published. Such reports may be made available broadly, such as on the Internet. Publication of the reports serves the purposes of good community relations as well as good employee relations.
