Written Materials

Written materials should be ergonomically sound so that they are easily readable, legible, and understandable by the workforce. They should also be attention getting. This can be accomplished by using print black on white or yellow paper, as this is more visually favorable than other combinations. Make the message as simple as possible. Do not make the page(s) too cluttered. Actually, double columns (such as those used by newspapers) are more readable than single ones. 

It is a wasted communication tool if no one will read it. Your workforce may have poor reading skills or the culture of the workforce may be such that they do not like to read. If this be the case, you are wasting your money investing in reading types of materials.

The standard does not stipulate which method should be used. In very small companies a lack of such documents defining responsibility and authority may not prove detrimental to quality provided people are made aware of their responsibilities and adequately trained. However, if you are going to rely on training, there has to be some written material which is used so that training is carried out to consistent standards.

Firefighters have to be able to read, understand, and act on complex written materials—not only fire law and fire procedures, but also scientific materials about fire, combustible materials, and chemicals. They have to be able to think clearly and independently because lives depend on decisions they make in a split second. They have to be able to do enough math to read and understand pressure gauges, or estimate the height of a building and the amount of hose needed to reach the third floor. They have to be able to read maps and floor plans so they can get to the emergency site quickly or find their way to an exit even in a smoke-filled building. 

The first option for treatment is one of information and advice only. For some clients who prefer to withdraw on their own, advice, written material, and support either through telephone counselling or one to two appointments may be all they require. Get the message across that you don t expect them to get it all right immediately—especially changing to safer sex—or they may be afraid to tell you their difficulties. Provide clear written material as a back up. There is too much to remember without it. 

Contrary to some published reports, pencil-written materials can be used in the oven. 

An auditory learner, by contrast, likes oral directions. He may find written materials confusing or boring. He often talks to himself and may even whisper aloud when he reads. He likes being read aloud to. An auditory learner will want to say things aloud as he studies. He could even make tapes for himself and listen to them later. Oral repetition is an important study tool for him. Making up rhymes or other oral mnemonic devices will help him, and he may like to listen to music as he works.
