Operating instructions manual

Installation qualification involves performing checks to ensure that the correct equipment or system has been installed and/or connected, including all necessary controls, monitors, instrumentation, or ancillary services. These checks should include verification that relevant operator manuals or instructions have been received from the supplier and that any applicable calibration steps have been identified. 

Operating manuals give the detailed, step by step, instructions for operation of the process and equipment. They would normally be prepared by the operating company personnel, but may also be issued by a contractor as part of the contract package for a less experienced client. The operating manuals would be used for operator instruction and training, and for the preparation of the formal plant operating instructions. 

The TGA apparatus becomes very hot and caution should be exercised while using it. In order to safely handle volatile materials or polymer decomposition products which may be irritating and harmful, it is suggested that a gas bubbler be constructed to scrub the gaseous effluent from the instrument (Fig. 15.5). Care must be taken to prevent excessive gas pressure from building up if the system is being operated under vacuum or with gases, both inert and flammable. The operation instruction, maintenance, and calibration should be included in the SOP. It is not necessary to copy the entire operation manually into the SOP. Writing simple instructions with references to the related sections in the manual is a better way. The frequency and tasks to be performed during maintenance should be stated in the maintenance section. The tests required to calibrate the instrument, the acceptance criteria, and the frequency for each test should be included in the calibration section of the SOP. Definitions of major and minor repairs which necessitate partial or full system requalification should be included as well. For example, the replacement of a UV lamp in a UV detector does not require full requalification whereas replacement of a circuitry board will. 

Check the documentation for completeness (operating manuals, maintenance instructions, standard operating procedures for testing, safety, and validation certificates). 

Mass calibration of the quadrupole mass spectrometers, Q1 and Q3, is based on poly(propylene)glycol in methanol as supplied by the instrument manufacturer and following instructions on calibration and tuning provided in the instrument operating manual.

The micronutrient cations can be estimated in a single extraction with diethylene triamine pentaacetic acid (DTPA) which has excellent chelating property with the micronutrient elements. Adequate precaution must be taken against any likely contamination from the reagents and glass wares in micronutrient assay work. Only double distilled water should be used. Specific hallow cathode lamps for each elements are used on AAS and requisite standards for instrument calibration are prepared as per instructions in the operation manual. 

Instrumentation/calibration. Instructions for calibration and maintenance of automated equipment only for those activities that are performed each time the procedure is done. Instrument operators manuals may be used to describe what the operator needs to do and how to do it. 

Operating and maintenance procedures should tell the technicians how to run the facility for which they are responsible—no more, no less. In practice, many operating manuals are used to store technical information such as P IDs (Piping and Instrument Diagrams) and MSDS. The mixing of instructions and information in this manner generally reduces the effectiveness of the procedures. Technical information should be available in its own, separate, and stand-alone manual. 

The principle of modularity can be used for designing an operating manual, with its associated procedures and instructions. Under this paradigm, the overall computer program becomes the operating manual, the subroutines within the program are the operating procedures, and the lines of code are the task instructions. 

The development of an operating manual should be a highly structured activity that is properly planned before the first words are written. The first modules will be broad in scope with very little detail. As more specific instructions are written, so they can be plugged into the overall structure, which will develop in ever-increasing levels of detail. At aU times, the people writing the... 

When an operator opens an operating manual, he or she is looking at two pages. Therefore, as a means of structuring the manual, it makes sense to organize the procedures and instructions into modules that take up just two pages. If a procedure is too big for just two pages then it can be broken down into two smaller modules. 

The types of procedure to be written have to be listed. For example, if a troubleshooting manual is to be written the scope of work will increase substantially. Also the required level of detail must be thought through before the project starts. Clearly an operating manual that provides instructions at the valve level is going to take much longer to write than one that discusses major equipment items only. 

Many operating manuals are cocooned in a cloud of soft materials such as introductions, summaries, generic safety instructions, and company mission statements. None of these materials help the operator do his or her work more efficiently or more safely instead they pad the manual with material that gets in the way, thereby increasing the time it takes find the pertinent instructions. In response to this concern, the minimalist approach eliminates these soft materials. An operating manual should tell the operator how to operate the unit—no more, no less. AU other material should be located in other documents.

Planning errors cause wrong designs and construction flaws and lead to wrong or insufficient instructions in the operating manual. Planning errors stem, for example, from mutual dependencies which have not been identified or sufficiently accounted for as the dependence of human error probabilities on environmental influences or impairment of components due to changes in environmental conditions caused by an accident. 

Provide audio visual alarms in control room for drawing attention of operators towards such events. These are likely to disturb the conversion of SO2 to SO3 Strict instructions shall be given in operating manuals.
