Maintenance records

Maintenance embraces regular inspection, periodic examination by competent persons , and repairs. All maintenance on equipment used with chemicals should be properly planned and recorded. Maintenance operations, particularly those which are non-routine, require a sound system of work with strict administrative procedures, e.g. permit-to-work, to avoid risks arising from modifications to established safe practices. A permit-to-work should be used wherever the method by which a job is done is likely to be critical to the safety of the workers involved, nearby workers, or the public it is required whenever the safeguards provided in normal operations are no longer available. Activities in which the attention of the worker is not normally engaged with laboratory operations, such as record maintenance, calculations, discussions, study, relaxation, etc., shall not be performed in the laboratory proper, but shall be performed in an area isolated from the active work area. The segregated desk area of the standard laboratory module is specifically intended to serve this purpose. Depending upon the nature ofthe hazard, it is usually economically feasible to make at least a portion of the barrier separating the two sections of the laboratory transparent so that continuing operations can be viewed, if necessary.

If a logbook is provided with the equipment, it should be kept up to date and available. Where a logbook is not provided with the equipment, the employer does not need to provide one although they should develop a system for recording maintenance work that has been carried out. 

Records of equipment and systems alignments shall be retained for reference by the operating shift. Administrative controls that document deviations from reference alignment shall be established for records maintenance. 

This system has replaced virtually all of the manual record maintenance In the Chemical Data Department. It Is rapidly becoming one of the most Important systems. The record contains the L-number, date, project and test, sample size, source and requested testing action to be performed. All of these facets are searchable.
