Abdellatif et al. reported a method for data retention [56] in which collected electronic data forms of each participating site are saved on a read-only CD as PDF files after the site s database has been locked. The assumption was that the summary portion of the report (including text and summary tables) would be saved as a PDF file, directly from the word processor used to create the report, and not scanned from a paper copy with a PDF file created from the image. However, owing to the variety of systems that may be used to create tables and appendices of data in the laboratory, it was recognized that some of these might require that PDF files be created from the scanned paper copy. 

Adobe Acrobat Reader is software that permits users to view, navigate, search, and print Adobe PDF tiles on major computer platforms. The software is free and available from Adobe Systems Web site. Although useful, the Reader does not support all the functionality that OPP s reviewers require. For the pilots, OPP purchased Adobe Acrobat, Version 4.0, to support the review of studies submitted as PDF files. Adobe Acrobat permits review, mark-up, annotation, and extraction of text and tables for editing or other manipulations, in addition to basic viewing, navigation, and printing capabilities. 

This guidance document governs how electronic files should be sent to the FDA. Currently, the FDA requests that electronic documents be submitted as Portable Document Format (PDF) files. The PDF page should be a standard 8.5" x 11" page with 1" margins and 12-point font. Data sets are currently to be sent to the FDA as SAS XPORT transport format files. In the future it is likely that data sets will be required to be sent as XMF files, probably formatted in the CDISC ODM. 

The Electronic Common Technical Document (eCTD) is the vision for future electronic submissions to the FDA. This specification was developed by the International Conference on Harmonization (ICH) as an open-standards solution for electronic submissions to worldwide regulatory authorities. The FDA has adopted the eCTD as the future replacement for its other e-submission guidance, although for now the older guidance is still in effect. Note that the eCTD still depends largely on submitting text documents as PDF files and submitting data sets as SAS XPORT transport format files.

PDF files can represent graphics as well as text, which ASCII cannot do. 

PDF files can be read with the free Adobe Reader. You do not have to purchase a word processing package to open PDF files. 

Large PDF files are stable. This cannot be said of Microsoft Word documents, which become unstable when files get large. 

PDF files look the same no matter where you open them. Sometimes Microsoft Word documents can change in appearance depending on your printer or whether you are printing with a PostScript or PCL printer driver. 

There are several ways to create PDF files from SAS output. Converting a single piece of SAS output into a single PDF file is one task, while converting multiple SAS outputs into a single PDF file is a different task altogether. 

Turning on the SAS ODS PDF destination is the easiest way to send your SAS output to a PDF file. With the following code you can create a PDF file ... 

Note that adding the two shaded lines of code to the SAS procedure gives you an attractive PDF file. If you do not like the default ODS style template that SAS uses for your output, you can use a different style template supplied by SAS by specifying the STYLE= option in the ODS PDF statement. If you still do not like the way your PDF file looks, you can define your own ODS style template with PROC TEMPLATE. Finally, PROC REPORT allows you to define formatting elements within the SAS procedure itself, where you can customize the appearance of almost any element on the page. 

There are other ways to convert a single piece of SAS output to PDF. You can use a free script found on the Internet, such as ascii2pdf, or purchase a PDF file converter from a third-party software vendor. If you have Acrobat Distiller with Acrobat Version 5, you can use the PDF distiller macros in Microsoft Office to print a single file from Microsoft Word to PDF. 

If you need to convert multiple SAS output files into a single PDF file, I advise that you use Acrobat Distiller for this purpose. Here are the steps to follow if you have Acrobat Version 5 ... 

If you need to repeatedly regenerate your PDF file, as is often the case in clinical trial reporting, it is easier to integrate PostScript files into a single PDF file with an automated scripted process such as the one listed above. Integrating multiple PDF files into a single PDF file is possible, but it is a manual process within Adobe Acrobat.
