E-mail communication

Use of electronic mail (e-mail) has been widespread for more than a decade. E-mail simplifies the flow of ideas, connects people from distant offices, eliminates the need for meetings, and often boosts productivity. However, e-mail should be carefully managed to avoid unclear and inappropriate communication. E-mail messages should be concise and limited to one topic. When complex issues need to be addressed, phone calls are still best.

While business cases have some value, there will always be technology where the business model does not apply. Typically, these are infrastructure technologies such as networks and computer communications (e-mail, voice mail), and in these cases, investment decisions must be made on the basis of broader organizational criteria. 

Electronic communication. One of the most dramatic changes in the last decade has been the rapid advance of electronic mail, internet and computer use. This has enormously speeded up communication and expanded the options for presentation, but it has also increased the problems of overload. Electronic commimication has the advantages lliat it is less limited in time and space than face-to-face or telephone communication. E-mail can also be very informal. Well-designed internet and computer-based information is, however, costly and time-consuming to produce.

E-mail as a communication tool has a number of drawbacks. First, it is vulnerable to being intercepted. This is a major security problem, especially when sensitive files are attached. Second, intended recipients may not access their e-mail on a timely basis, thus delaying any action that might need to be taken. Third, there is the possibility of sending files inadvertently to the wrong recipient.

Contact with the shoppers was restricted to field phase management study personnel, for two reasons. First, clearly defined lines of communication had to be maintained. Second, in order to ensure that the identity of the stores remained blind (i.e., unknown to everyone downstream from sample collection), in compliance with one of the design criteria, communication with the shoppers had to be restricted. Overall, limiting contact with shoppers to one entity and using modern technology, such as facsimiles and e-mail to facilitate and document communications between shoppers and the collection coordinator, were essential factors in the successful conduct of the sampling phase of the study. 

The initial recording of research ideas and data is most always private and takes the form of laboratory notebooks and database files. The first communication of research data and ideas may or may not be private. Oral and informal written communication occurs between research colleagues and teams. In the era of e-mail and listserves, these initial written communications may also be public in that they exist on the Internet. If there is a financial or proprietary interest in the research, the first communication may be in the form of a patent application. 

Chemical Physics Preprint Database. This database [81] is a fully automated electronic archive and distribution server intended to provide a means for rapid and efficient preprint distribution within the international theoretical chemical physics community. A preprint is a copy of a paper that has been submitted for publication. This database has been designed to be a useful and freely available tool for education and research. It allows investigators to submit and retrieve electronic copies of preprints via the Internet. Access for retrieval and listing of papers in the database is possible through WWW servers, anonymous ftp, or e-mail. Currently research papers are submitted to the databases via e-mail. This project is a joint effort by the Department of Chemistry at Brown University and the Theoretical Chemistry and Molecular Physics Group at the Los Alamos National Laboratory.
