Division Files System

Division Files System (DFS). DFS is the cornerstone of the administrative management of files initiative. It provides document management, tracking, archiving, and electronic signature capabilities for internally generated review documents. It also provides search and retrieval capabilities for final versions of internally generated review documents. 

Although individual laboratories find it useful to compile their own reference library files, access to very large collections of mass spectra and to published data [55] is essential. A compilation of many thousands of spectra by the Aldermaston Mass Spectrometry Data Centre and the Division of Computer Research and Technology at the National Institutes of Health [56-58] has been made available commercially. The file can be searched in a number of ways using an interactive conversational mass spectral search system via a teletype and acoustic link over telephone lines. 

As with house organs, the responsibility for obtaining, processing, and circulating trade publications should be assigned to the librarian. In this way we can be assured of a complete file of all needed material and one which is controlled for the best interests of all. A convenient way to file trade publications is by company, and, if necessary, further classification of each company by department or division. To afford the circulation librarian a convenient system for charging out trade publications, each publication of a company should be assigned an accessions number.

Each main division is subdivided into as many classes as are required by the amount and type of information to be classified. Table II shows the breakdown of the lubricants and lubrication division. The first letter in the file designation for each class is that of the main division, in this case F for lubricants and lubrication. The second letter indicates the particular class within the main division. A number of classes are provided for lubricant products, while others exist for classification of information relating to production, specifications, testing, etc. Each class is further divided as extensively as has proved to be useful. Since the system was initiated prior to 1927, it is not surprising that a number of subclasses have since been added, as have some classes and even a few main divisions. 

After approval, the archival copy is retained by the FDA and serves as the sole file copy of the approved application. Certain parts of the archival copy will be accepted on microfiche, another suitable microform system, or by electronic (computer) means. (It behooves the applicant to check with the FDA division that will be reviewing the NDA on the acceptability of the format the applicant chooses.)... 

Eastman Kodak has many laboratories worldwide, all with their own information departments, but the Information and Computer Technology Division in Rochester, and in particular the Application and Data Resources Unit, is responsible for the 555,000 compounds in the Chemical Registry System (under both MACCS and CAS Registry System software). There are also on file 17000 reactions under REACCS, 190,000 reports and 65,000 patents in a photographic patents index. The Chemical Information Centre holds 1,100,000 index cards, half of them in accession number order and half in molecular formula sequence.
