Spell checker

Ambiguous When writing on the computer, the spell checker often comes in handy.

Revise, proofread, copy, send. The very ease of e-mail makes it tempting to send messages that may not be truly ready to go. All your professional correspondence should look just that professional. Take some time to revise for clarity and tone always proofread. Double-check figures and dates, and run the spell-checker if you have one. If time permits, print out a paper or hard copy of important messages to look over before you hit the Send...

Don t worry about spelling and use of synonyms - these can (and should) be checked during a special revision run through your text, using the spelling checker first to correct obvious mistakes, then the thesaurus to change words for style or to find the exact word. 

All modem word processing packages incorporate comprehensive spell-checkers they should be used. Technical and facility-specific words can be added to the spell-checker. There is no longer any excuse for misspellings, nor for misspellings. 

No matter how careful an author is, it is difficult to compose concise text without redundant terms and the use of words that add little, if any, meaning. Most novice designers and writers, examine their manuscripts carefiilly for spelling errors, with the help of the spelling checkers in their word processors. They also seek to confirm that their statements are technically correct. However, many are inexperienced in the art of editing. 

As noted at the beginning of this document-writing section, the focus is on production—generating a document with minimal effort and maximum communication potential. A small diversion is in order at this point in the process. When your document is finished, and after you have used the spell checker on your word processor, take one last critical look at it. Table 3.5 presents suggested proofing tips based, in part, on Alexander (2001) and Walesh (2000). 

It is inportant to write using correct spelling, grammar, and punctuation. Incorrect spelling, incorrect grammar, incorrect word usage, and incorrect punctuation make a poor inpression on the reader. They can deflect attention from quality technical work. There is no reason for incorrecdy spelled words in any report. Spell checkers identify incorrecdy spelled words for you, and they also identify words that are often confused with each other. You still must proofread carefully, since a spell checker will not identify a correctly spelled incorrect word e.g., too instead of two ). 

Misspellings have always been unacceptable in formal written work. Readers generally have a lower opinion of the ideas expressed when the prose contains misspelled words. Mth spell checkers being so available, spelling errors have come even more to indicate sloppiness and lack of respect for the audience. 

Clearly, one cannot submit a report that has not been subjected to a spell checker. However, no spell checker is perfect. More importandy, they can only check whether the word in question is a true word, not whether it is the word that the author intended. If one writes to when too is meant (or preform instead of perform ), the spell checker will not correct it.
