Issuing documents

The principal elements of document control are illustrated in Figure 5.5. This process provides for bringing existing documents under control, for controlling the preparation of new documents and for changing approved and issued documents. Each process could represent a procedure or a form. The processes may differ depending on the type of documents and organizations involved in its preparation, approval, publication, and use. One procedure may cater for all the processes but you may need several.

Don t issue documents to named individuals - use their position titles. 

Quality documentation and records This requirement should be developed during the whole of the installation process. You need to document your system. However, you must carefully consider the timing of publication. In some projects it may be appropriate to issue documentation from day one and routinely update it. 

Issued documents should not be handwritten. Reproduced or computer-printed documents should be clear and legible in the case of batch documents each should be initialled to indicate a verified issue. 

Where any issued document requies the entry of data or additional information, entries should be handwritten clearly and legibly in permanent ink. If a handwritten entry is corrected, the correction should permit reading of the original entry and should be initialled by the person making it...

The old adage if it isn t written, it isn t done certainly applies to analytical transfer. The expectation of the health authorities is that a final report will be issued documenting the analytical method transfer process and associated results. Two types of records are subject to PAI Primary records that demonstrate safety, purity, and efficacy of the drug (e.g., batch records, test data) and supporting documentation such as equipment verification records, change control and development and validation reports that demonstrate the cGMP compliance status of the facility. PADS and DOCS have provided the directory information part numbers, drawing titles and issues, document titles, issues and authors, etc for many years. However, in the face of multimedia and interactive computer applications this data appears restrictive. Most software now offers full document text retrieval with graphics, video and photographic capabilities.

Issue documentation was not defined within the proposed Implementation plan. Administrative procedures are required that will control the Integrated management system and define specifically how issues are processed, how corrective actions are performed and controlled, and how Interface and Interaction is controlled.
